			<content:encoded><![CDATA[<p>One of the tasks that it easiest for a lawyer to outsource to a virtual legal assistant or virtual paralegal is plain old typing. I&#8217;ve talked about the <a href="http://halosecretarialservices.com/blog/2009/10/19/value-of-legal-dictation/" target="_blank">value of dictation for lawyers</a> before, as they can dictate <a href="http://halosecretarialservices.com/blog/2010/04/29/transcription-options/" target="_blank">various types of instructions</a>, as well as &#8220;traditional&#8221; dictation where you simply just speak whatever you want typed (of course!)</p>
<p>Recently I had a client ask me if I knew of any iPhone dictation apps so that he could dictate more easily when he wasn&#8217;t in his office. He knew he had the option of buying a portable digital recorder, but since he always has his phone with him anyway, an app seemed much simpler in this case. After all, don&#8217;t we all carry enough stuff these days? Adding a digital recorder is just one more item to keep track of.</p>
<p>I did some research and quickly found a lovely little app from my favorite transcription software company, NCH. The <a href="http://www.nch.com.au/pocket/index.html" target="_blank">iPhone Pocket Dictate Mobile Voice Recorder</a> is a free app available on iTunes and my quick trial made it seem very easy to use.  If you are often on the go, consider an app for your phone for dictation, or purchase a digital recorder, and see how much easier it will make it to delegate on the go!</p>

			<content:encoded><![CDATA[<p>Nothing stays the same and that is as true in law as in life. As the world changes, laws have to change to keep up with the times. And in Alberta this has recently meant some serious changes to the way wills and estates are handled. In February (2012) the <em><a href="http://www.canlii.org/en/ab/laws/stat/sa-2010-c-w-12.2/latest/sa-2010-c-w-12.2.html" target="_blank">Wills and Succession Act, SA 2010, c W-12.2</a></em> came into force, replacing a number of other pieces of legislation.</p>
<p>A number of my lawyer clients were affected by this change; the ones who do estate litigation, the ones who do estate planning and even the ones who work in matrimonial law. As a paralegal who helps prepare probate documents I needed to get up to date on the way the changes will affect the forms we use and the things we need to do differently when working with clients. To achieve my goal of getting up to date I recently attended a <a href="https://www.lesaonline.org/index.asp?" target="_blank">Legal Education Society of Alberta</a> seminar designed specifically for legal support staff. The seminar was incredibly helpful and I came home with a whole binder of information and sample forms, so I feel really ready to work with my lawyers on future files. I didn&#8217;t just come home with paper notes though. The seminar chairperson is a Twitter enthusiast and at the beginning of the day he mentioned that all seminar attendees should feel free to use Twitter with the hashtag #lesaonline to interact with one another and to create another mode of discussion. Of course I jumped right into that! I was essentially the only legal assistant to join the twitter conversation, but I&#8217;m hopeful that maybe the inclusion of the hashtag conversation on an official basis will encourage others to see the professional value of social media and Twitter.</p>

			<content:encoded><![CDATA[<p>In all my years working in law offices, as well as the past four years I&#8217;ve spent working as a virtual paralegal, I&#8217;ve always used Windows operating systems. This past week though that changed for me. I&#8217;m now a dual O/S VLA! My MacBook Pro, after some fun waiting on UPS, showed up at my door late last week. This week I even made it prettier (in my eyes) by pinking it up <img src='http://halosecretarialservices.com/blog/wp-includes/images/smilies/icon_smile.gif' alt=':)' class='wp-smiley' /> </p>
<p>I have to admit though that I&#8217;m struggling a little with the learning curve associated with using a new operating system. I didn&#8217;t think it would be that different and in some ways it hasn&#8217;t been too hard of a change. I downloaded Chrome right away, my browser of choice, and because of Chrome&#8217;s ability to sign in and carry over bookmarks, all of my favorite and most needed sites are still right at my fingertips. I bought Microsoft Office for Mac and I thought that would be instantly familiar too. It&#8217;s so not though. The setup of Word and Excel just isn&#8217;t the same and the first mail merge I tried to do left me so frustrated I switched back to my old laptop to get the job done. I fortunately have since discovered that, at least for me, converting my excel to .csv format makes the merge work. It wasn&#8217;t recognizing my data source on my first attempts.</p>
<p>There are definitely some nice aspects of the Mac too, it&#8217;s not all challenges! I love the iPhoto application and I think I&#8217;m going to like the mousepad and the way you navigate through open programs and such. It&#8217;s smoother than I expected. I also like knowing it makes my virtual legal assistant practice more flexible; I have multiple clients who use only Apple computers and this should benefit them (for example it should eliminate the occasional and extremely annoying formatting issues that crop up when clients use Word for Mac and I use Word 2010).</p>
<p>I&#8217;m definitely not sure if I&#8217;ll ever go to just one operating system again. I know some people switch to Apple&#8217;s operating system and never go back, others hate it and give it up entirely and still others maintain computers with Windows software and computers with Apple software. I suspect that I&#8217;ll be in the last group, but only time will tell!</p>

			<content:encoded><![CDATA[<p>Just read an article from Silicon Republic (<a href="http://www.siliconrepublic.com/strategy/item/28503-digitally-savvy-workers-do/" target="_blank">Digitally savvy workers do not adhere to 9 to 5 routines</a>) and was inspired to share it here. The author of the article is mostly discussing the effect having such workers has on the IT aspect of a large business. Security and multi-platform issues are totally valid and worth considering for large businesses in the fast-changing workplace. One particular line of the article caught my eye though, and I read it with some amusement I must admit:</p>
<blockquote><p>&#8220;the challenge of measuring productivity levels accurately&#8221;</p></blockquote>
<p>Measuring productivity is an issue that faces most businesses and even truly showing productivity is a challenge in my opinion. I spend a lot of hours at my computer every day. Not as many as when I worked full-time, but a lot. I work a lot and steam through projects for my clients, but I also have a lot of unproductive time. I don&#8217;t think many people can be productive for 7-8 solid hours every work day. I think true productivity is likely to be far better achieved when people can work in the hours that work best for them, their colleagues and their employer, but that definitely is not always going to be between the hours of 9-5 from a cubicle in an office tower.</p>
<p>In my almost 4 years as a virtual paralegal I&#8217;ve learned a lot about working flexibly, the problems that can arise cross platform and how beneficial it can be for my clients to have access to a worker who works non-traditional hours. I&#8217;ve learned that the fact I like to work at night can be very helpful when someone needs something for early the next day even though it&#8217;s already past 4.  Or being in another time zone means you can make an early start for some clients, or finish off your day by helping someone who&#8217;s 7 hours ahead of you. Sure it&#8217;s not all roses, you might get up at 5 for a phone call, or stay up until 11. But it&#8217;s a great way to work when LIFE doesn&#8217;t start at 5:30 pm. I go to school events in the afternoon and bring my laptop to Kung Fu lessons. Someday I may choose to work 9 to 5 again, but I sure hope by then that more employers recognize the value of non-traditional hours, and perhaps (hopeful I know) that they focus less on exactly how many hours are spent on something and more on the goals achieved at the end of the day, even if the day doesn&#8217;t end until midnight.</p>

			<content:encoded><![CDATA[<p>One of the best things about working as a virtual paralegal is that I get to work with really interesting people from all over Canada, the United States and even people who live in Europe! I have one client that is in the UK and I have people I occasionally need to liaise with contacts for my clients in some pretty far flung locations. This can be really cool, BUT there is a caveat. It can be pretty challenging to work across multiple time zones.</p>
<p>The most important thing to do when you are working with people who don&#8217;t live in your time zone is to get in the habit of always indicating times for phone calls and meetings with proper time zone abbreviations. Don&#8217;t expect people to remember exactly what time zone you are in. For example, I live in Alberta and am in the mountain time zone, so if I wanted to talk to someone at 10 am my time, I say 10:00 MST. I always like to indicate their time zone as well, so I might say &#8220;can we speak at 10 MST, 12 EST (your time)?&#8221; It helps to keep it very clear.</p>
<p>I love Time Zone Meeting Planner for helping me with planning the other person&#8217;s time. I can have several time zones accounted for all at once! I also use Google Calendar&#8217;s World Clock feature to help keep me on track.</p>

			<content:encoded><![CDATA[<p>This Friday and Saturday I&#8217;ll be attending a local blog conference, <a href="http://blogwest.ca/">BlogWest</a>. Now I&#8217;ll admit there is a large personal element for ME in attending this conference, but I also recognize how truly beneficial it can be to small business owners or solopreneurs to attend these types of events. Following the hashtag for the conference on Twitter (<a href="https://twitter.com/#!/search/realtime/%23blogwest">#blogwest</a>) might make one think these events are for mom bloggers more than anyone. So not true though!</p>
<p>Blog conferences can be such valuable tools for business people, even if they <em>don&#8217;t</em> blog. You can learn about emerging trends in the blogosphere, which may well impact your business or related activities (such as your marketing techniques, etc). You can learn tools to help you get started in using social media. You can make contacts with some big names and companies or (and just as importantly) make contacts in your community to build a solid customer base from.</p>
<p>If you look at the sessions topics for BlogWest for example, as a business owner you might want to attend sessions on these topics:</p>
<ul>
<li>WordPress 101 &#8211; for someone who thinks they should be blogging but just doesn&#8217;t know where to start</li>
<li>The Frazzled Can&#8217;t Produce &#8211; what business owner couldn&#8217;t use tips to cope with stress?!</li>
<li>Google Analytics &#8211; can help you understand who&#8217;s visiting your site</li>
<li>Welcome to blogs, boards and Twitter, the future battlegrounds of public debate &#8211; a great way to connect with your community and understand the value/potential of social media.</li>
</ul>
<p>And so many more! I&#8217;ll personally be attending sessions that will be beneficial to me as a personal blogger and that will help me continue to add to this business blog. Can&#8217;t wait!</p>

		<title>Halo Secretarial&#8217;s Home Office Update</title>

			<content:encoded><![CDATA[<p>I ended 2011 by redesigning Halo Secretarial&#8217;s website. I think the new look is fresh and a little more visual. Hopefully you like it too! I wanted to continue the update trend for 2012, so my first project was my home office. While admittedly I work all over my house (yay for laptops!) I do have a basement home office that was in not so pretty of shape until recently.</p>
<p>Here&#8217;s the before picture (note boring bare walls and lack of proper storage):</p>

<p>I spent some time shopping for a few new things, including plenty of time spent on <a href="https://pinterest.com/lsmapp/wahm-inspiration/">Pinterest</a> and Google Image Search getting ideas for home office setups that might work for me. I don&#8217;t really sit at my desk, it&#8217;s more for organization purposes and storage, so that was one thing I didn&#8217;t have to worry about much. I mostly work from my treadmill. When I get tired I&#8217;m likely to work from my computer so the 4yo is easy to keep in sight <img src='http://halosecretarialservices.com/blog/wp-includes/images/smilies/icon_smile.gif' alt=':)' class='wp-smiley' /> </p>
<p>Anyway, here&#8217;s my updated home office &#8211; I love it!</p>

<p>Updating my office motivated me to really use my treadmill workstation, and it made me excited all over again to work from home. Realizing I am the only one who gets to decide what goes on my walls and how it should be set up is wonderful. Now time to decide what the next project will be&#8230;</p>
