<p>I&#8217;m looking forward to a great 2012. 2011 was truly a successful year for Halo Secretarial Services, with several new clients and an increased dedication to taking on only lawyer clients, to allow me to truly practice my specialty of legal virtual assistance. I initiated working with my first subcontractor (a fabulous VLA based locally in Alberta), started using a treadmill desk and worked hard to find balance between my wonderful work and my amazing family. I can&#8217;t wait to see how much more can be done in 2012.</p>

			<content:encoded><![CDATA[<p>One of my goals working towards 2012 (as decided after working through some thoughts shared in my <a href="http://halosecretarialservices.com/blog/2011/12/01/sharing-my-december-newsletter/">recent newsletter</a>!) is to update my website and blog. I try to make the necessary fundamental changes on a regular basis (such as elimination or addition of services, changes to rates, etc) but now I&#8217;m due for an overhaul of the visual aspect of the sites.  This means there may be a few glitchy moments here and there or times when the site is not available, but hopefully I can keep the disruptions to a minimum and get it all beautiful and fresh before the new year begins. After all, what a great way to spend time over the quieter holiday season than updating my site <img src='http://halosecretarialservices.com/blog/wp-includes/images/smilies/icon_smile.gif' alt=':)' class='wp-smiley' /> </p>

			<content:encoded><![CDATA[<p>Hope everyone has had a wonderful fall and is ready for the upcoming winter/holiday season. Fall was a bit difficult here at Halo Secretarial, it involved a flu, then pneumonia, then a never-ending cough. I kept up with my work mostly (and was very appreciative of a couple of patient clients!) but it was a bit more challenging than fall usually is.</p>
<p>I just sent out my most recent newsletter today and wanted to share the text here for anyone who hasn&#8217;t subscribed yet. Enjoy!</p>
<h2>2012 is Coming</h2>
<h3>&#8216;Tis the season for planning!</h3>
<p>I turned the last page of my calendar today &#8211; the first day of December is always a wake-up call of sorts, isn’t it? Time to finish planning for the holidays, time to gather year-end paperwork and most importantly, time to make goals and set expectations for the coming year.</p>
<p>I know 2012 is going to be a busy year, for me and for Halo Secretarial, so I&#8217;m starting my planning right now. Here are some of the things I&#8217;m going to address in my planning, and I wanted to share, as I hope they can help you with your plans:</p>
<ul>
<li>Do you have enough help?</li>
<li>Do you need more administrative assistance, better bookkeeping services, more childcare?</li>
<li>What big ticket items do you need to purchase in 2012 so you can budget accordingly?</li>
<li>Do you need to raise your fees, lower them or leave them as is?</li>
<li>When are you going to do your big marketing campaigns for the year?</li>
<li>Do you have any clients you need to stop working with?</li>
<li>How do your personal goals match up with the timelines for your business objectives this year?</li>
<li>Are your systems up to date?</li>
<li>What kinds of training or learning activities do you want to participate in?</li>
<li>Are you going to attend any conferences?</li>
</ul>
<p>This list is helping me get started &#8211; so I better head back to my desk and work though my options. Happy Holidays to you all and cheers to an amazing 2012 for us all!</p>

			<content:encoded><![CDATA[<p>Working from home allows me a lot of flexibility in the summer &#8211; I work in the mornings and often take the mid-late afternoon off to hit a park with the kids, go on a bike ride or just veg in the swing in the backyard. But working for myself has meant I don&#8217;t take a lot of extended time off from working. Last summer I took a week to travel to BC with my husband and kids, but I took my laptop along and spent time on the drive and every day doing some work. I didn&#8217;t mind and with a little one who still needed a bit of a nap, it was pretty manageable. This summer though we were extremely fortunate and won a trip to Orlando (thanks again <a href="http://www.yummymummyclub.ca">YummyMummyClub</a>!) We were only gone for five business days, but I actually decided to leave the laptop at home and truly take my first full vacation since opening <a href="http://halosecretarialservices.com">Halo Secretarial</a> up close to three years ago.</p>
<p>I worked extra hours before and after the vacation to make sure I was keeping on top of several projects, and I gave all my current clients plenty of notice, but I still felt bad about taking the time off. It&#8217;s definitely one of the biggest struggles in owning a small business &#8211; managing your personal needs with your desire to give 110% to your clients. Now, more than a week after returning from Florida (which was awesome by the way) I read a <a href="http://lawyerist.com/vacation-and-the-big-question/">blog post over at Lawyerist about Vacation</a> and realized a benefit of my vacation I hadn&#8217;t even considered. While I enjoyed the time away from my computer, I missed my work. I missed the rush of urgent projects and the conversations with colleagues. I guess I&#8217;m one of the lucky ones with a career that I truly enjoy and vacation helps me to appreciate just how much I do love what I do. Thank goodness I don&#8217;t find myself wishing to be in a car accident to avoid my work (especially since I don&#8217;t have to drive to work, lol, not much chance of a car accident on the way upstairs to my office). My work life balance is still not perfect, and some days I wish for a couple of extra hours, but overall, being a virtual legal assistant has been a dream come true &#8211; I hope all of my readers, colleagues and clients are able to say the same!</p>

			<content:encoded><![CDATA[<p>Today I&#8217;m trying to get back in the habit of reading blog posts and tweets &#8211; I&#8217;ve been feeling out of the loop! I came across this interesting post: <a href="http://ariemoyal.com/thank-you-wow-and-done-the-only-3-metrics-you">Thank you, Wow and Done</a> by Arié Moyal. Arié is talking about social media and the &#8220;value&#8221; we assign to different metrics, but the title of the post made me think about value in the customer relationship and how you know if you are making your customers or clients happy.</p>
<p>When your work relationships are virtual, you miss out on the body language and in person contact that help you know if you are doing your job well. Text on a screen can only convey so much, seeing a relieved smile on a client&#8217;s face after completion of a project can be more immediately reassuring as to the value you are providing. Still the right words, especially when the feedback is fairly immediate, can help you be sure you are achieving your goal of easing the burden off the shoulders of your customer. When one of my lawyers tells me how impressed they are with the speed at which I complete a task, I know I have exceeded their expectations &#8211; and made their day go a little more smoothly. These are the metrics that matter to me &#8211; satisfying the people I work with and for. I don&#8217;t need hundreds of customers, I don&#8217;t need to have a million twitter followers or to have people post links to my blog. That&#8217;s the beauty of owning the size and type of business I do. I just need to make my clients happy so they can keep their clients happy. It&#8217;s as simple as that.</p>

			<content:encoded><![CDATA[<p>I recently read this helpful post from Beverly Michaelis about the <a href="http://oregonlawpracticemanagement.com/2011/07/18/six-mistakes-lawyers-make-with-staff-part-i/">Six Mistakes Lawyers Make with Staff</a>. The points made are spot on in my experience, and the post prompted me to consider a few of the biggest concerns that arise in working relationships between lawyers and virtual support professionals, including virtual legal assistants.</p>
<h3>Poor communication</h3>
<p>Poor communication is definitely one of the biggest stumbling blocks in virtual working relationships. Email and phone calls can be great ways to communicate, but I have seen many emails that are sent lacking critical information, or phone calls that are not followed up by written instructions confirming the content of the call and the expectations for the project undertaken. I have had lawyers send urgent emails asking about my services with no clear listing of what they need and why. It&#8217;s hard to provide a proper response right away (avoiding delays created by multiple email exchanges) if I don&#8217;t even know exactly what someone&#8217;s needs are and their timeline! Communication about work projects and assignments given by a lawyer to a virtual legal assistant should clearly set out what is needed, what the timeline is and any quirks of the assignment.</p>
<h3>Not Providing Feedback</h3>
<p>In an in-office situation, a lawyer will (hopefully!) tell his or her assistant if they did a good job. They may make corrections to their work themselves, but still let their assistant know how to improve for the next time. Virtually this seems to happen less and yet it is an important part of building a good relationship. Don&#8217;t feel like you are being nitpicky or difficult &#8211; you must provide feedback, both positive and negative, on a regular basis so your virtual assistant stays in the loop.  It can be as simple as preferring different font points on different documents or as big as deadline issues over time of day and time zones (ie. due on Wednesday could mean Wednesday at 8am PST or Wednesday by midnight). We don&#8217;t often see the absolute final product on assignments as documents are printed out on site and so we don&#8217;t get that feedback unless effort is made to make sure it is given. I know I, and most other VLA&#8217;s, want to do our absolute best and anything you say about our work is going to help in that respect.</p>
<h3>Calendar Conflicts</h3>
<p>This relates to communication really (most staff issues do!) but do make sure your virtual staff either have access to your calendar or get regular updates as to your schedule. A virtual legal assistant may not need to know when you run out for lunch or to get a coffee, but they do need to know on a general level what times of day are best to reach you, when to schedule meetings with you via phone/skype and when you are going to be away for vacation or other absences. This helps the VLA stay on top of her tasks and she may even help you by knowing your plans, as you may set deadlines with conflicts.</p>
<p>Overall, virtual relationships are not that different that in-person relationships. Regular and clear communication enhances the relationship and respect and consideration provide a solid foundation.</p>

<p>Spring in Alberta is not a pretty time of year. In fact, my backyard is  still almost entirely covered in snow, and in the few spots that the sun  has penetrated, there is nothing but mud! Trees have yet to bud and  flowers still lie dormant. Give us another month and we *might* be  getting our spring on!</p>
<p>But still, regardless of the cool temperatures, the snow and the frost,  spring is a great time of year in my opinion. It&#8217;s a time for growth,  for planning and for organizing. Winter is a time for introspection and  hibernation it seems, but spring is time to act and get moving.</p>
<p>This spring I&#8217;m going to try some new things &#8211; I think I&#8217;m going to  finally get out my Flip camcorder and record a couple of videoblogs. I&#8217;m  also entering my first triathlon this spring &#8211; appropriately called the  Spring Fling Triathlon. I&#8217;m also stepping outside my comfort zone and  pursuing new marketing avenues. So far I&#8217;ve stuck with social media and  word of mouth referrals. Referrals are definitely the best, but they  come slowly with time, and I&#8217;m ready to grow now!</p>
<p>So what are you doing to start this spring off right? Are you planning  for growth, are you cleaning up and getting organized or are you  striking out in new directions? Whatever this spring holds for you, I  hope it is full of sunshine and just enough rain to make things green  and bright!</p>

			<content:encoded><![CDATA[<p>I definitely sit too much during the day. I sit at my desk, I sit in my car, I sit and I sit and I sit. Recently I began adding in regular exercise to my week (training for a triathlon!) but still I know that all those hours of sitting are hard to balance out without a lot of activity.</p>
<p>Then last weekend I read about treadmill desks (actually I read about them before, but never actually READ the articles, just glanced and moved on with my day). With a good 20 lbs of weight to lose, a wedding to be in this summer and general life to keep fit for, suddenly it made sense to me to try and incorporate even a little more walking in my days. So I put together a temporary desk to fit across the arms of my treadmill and having been logging a mile or three each day this week. Well, except for Wednesday &#8211; I was tired that day!</p>
<p>I have so far been able to type up dictation, review email, draft several affidavits, attend a web-chat meeting, and even conduct a quick phone call all while walking away on my treadmill. I was definitely worried it would be distracting, but it is proving to be a relatively easy adaptation for me. A friend of mine tried it out and wasn&#8217;t sure she could read lengthy documents easily, and since every person handles things differently it&#8217;s certainly no guarantee that you can tread-walk through entire workdays. I like having a portable work surface so that I can transition as needed. I also can simply stand and work, with the treadmill off, if that assists in accomplishing a particular task.</p>
<p>Most of the lawyers I work with, and the virtual legal assistants I know, sit at least as much as I do during the day. We seem to be tied to our computers don&#8217;t we? If like me you want to replace some of that sitting with some slow walking, look into treadmill desk options &#8211; or make your makeshift version like I did (pic below)! Obviously this is easiest if you already have a treadmill and you work from home, but I honestly think it would be worth an experiment in many offices as well. Most office workers get little movement in during the day &#8211; despite the knowledge that it is good for us. Deadlines and documents get in the way of even a short jaunt around the office space or a quick hike up and down the nearest stairs. Working while walking is a great solution I think!</p>

			<content:encoded><![CDATA[<p>To do lists are a big part of my life. I have multiple lists &#8211; personal lists, work lists, long term lists and get it done today lists. My go to list is the very simple tasks list within gmail. That is my list for immediate and throughout the week to-do tasks, and I try to reevaluate it on a daily and weekly basis to stay on top of my priorities.</p>
<p>Some of my lists go into spreadsheets or word documents, like the list of things to do before I&#8217;m 40. That doesn&#8217;t have to be right in front of me all the time, but it is an important list (can&#8217;t wait to cross off &#8220;Compete in a a Triathlon&#8221; in May!)</p>
<p>To do lists are a very personal thing, some people want lists that can be easily accessed, some want all-inclusive lists and some want the ability to share their list. Some lists are very task oriented and some are more complex requiring more than a simple line and a checkmark. Recently I was trying to find a solution for a client who wants to track &#8220;to-dos&#8221; that are more project-like than simple tasks. It has been surprisingly difficult to find something that meets all the requirements: shareable, need to be able to fill in a fair amount of detail, needs to be very secure. If anyone out there has a suggestion I&#8217;d love to check it out!</p>
<p>And now, back to my to do list for today&#8230;.</p>
